Travel Planning

Learn how to automate travel time blockers in your calendar using Notis. This guide shows you how to set up an automation that automatically reserves travel time between meetings—so you never have to worry about being late again.

Do you ever struggle planning your week going from one place to another? If you're like Nikki—who used to rely on a PA to organize calendar blockers so she'd have enough time to travel between meetings—this guide is for you.

With Notis, you can automate travel time blockers in your calendar. Whenever a new appointment is booked, Notis will automatically reserve the time needed to get from your place to that appointment, and from that appointment to the next one, based on actual travel time.

Setup time: ~5 minutes

What you'll need

  • A Google Calendar connected to Notis
  • Your home address
  • 5 minutes to set things up

Step 1: Create a Travel Blocker calendar

  1. In Google Calendar, click the + icon to create a new calendar
  1. Name it Travel Blocker
  1. Click Configure (or open the calendar settings)
  1. At the bottom, copy the Calendar ID—you'll need this later

Step 2: Create the automation in Notis

  1. Go to the Notis portal
  1. Create a new automation and name it Travel Planning
  1. Copy the prompt template below into the automation prompt
  1. Customize the prompt:
      • Replace [your address] with your home address
      • Replace [your calendar id] with the Calendar ID you copied earlier
  1. Review the rules and adjust them to your needs (e.g., transportation preferences)

Prompt Template: Travel Planning

Step 3: Set up the triggers

  1. In Trigger Type, select Integrations
  1. Choose Google Calendar and select your default account
  1. Create two triggers:
      • Event Created — leave default settings
      • Event Cancelled/Deleted — same calendar
💡

If you have multiple calendars connected to Notis, simply add more triggers for each calendar you want to monitor.

  1. Hit Save

How it works

Notis maintains three types of travel blockers:

Type
Description
Type 1
Travel from home → first meeting of the day
Type 2
Travel from one meeting → next meeting
Type 3
Travel from last meeting → home

When you create a meeting, Notis will:

  • Calculate the travel time based on the meeting location
  • Create the appropriate blocker(s) in your Travel Blocker calendar
  • Choose the optimal transport mode (public transit vs. car) based on your rules

When you delete or modify a meeting, Notis will automatically adjust all affected blockers.

Test it out

  1. Create a meeting on Monday at 10:00 AM (e.g., "Meeting with John" at a café)
  1. Create another meeting later that day (e.g., "Lunch with Alex" at a restaurant)
  1. Watch Notis automatically create:
      • A blocker from home to your first meeting
      • A blocker between your two meetings
      • A blocker from your last meeting back home

Now add a third meeting between the two existing ones. Notis will recalculate and adjust all blockers automatically—no back and forth needed.

Customization tips

You can adjust the rules in the prompt to fit your preferences:

  • Transportation mode: By default, Notis picks public transport for downtown Paris and car otherwise. Change this to match your city or preferences.
  • Multiple calendars: Add more triggers if you want Notis to monitor several calendars.
  • Error handling: Notis will only message you directly if there's an error or if travel time exceeds the available time between meetings.

That's it! If you have a busy agenda and don't have a PA—or want your PA focusing on smarter tasks—let Notis handle your travel planning automatically. 🚀
