Use Notis to create, assign, and track team tasks entirely by voice. This guide shows how to set up your tasks database, assign owners, check statuses, and update progress without touching a keyboard.

Quick start: example voice commands

Say these to Notis:

  • “Create a new task: Redesign landing page, assign to Sarah, due Friday.”
  • “What tasks are assigned to me?”
  • “Mark ‘Redesign landing page’ as In progress.”
  • “What tasks are overdue across the team?”

Notis will create or find the right task, set the assignee and due date, read back results, and make the updates in Notion.

Step 1 — Set up your Tasks database

Use your the Notis Second Brain template or connect your task database.

If you want to assign tasks make sure you have a property in your database of type “people.”

Step 2 — Create and assign tasks by voice

Use natural language. A few reliable patterns:

  • “Create a new task: <Task name>.”
  • “Create a new task: <Task name>, assign to <Person>, due <Date>.”
  • “New task <Task name> for <Person> due <Date>.”

Examples:

  • “Create a new task: Prepare Q4 budget, assign to Alex, due next Tuesday.”
  • “New task: Customer interview summary for Jordan due tomorrow.”

Results you should see:

  • A new page in your Tasks database
  • Assignee set to the named teammate
  • Due date set according to your phrase (e.g., tomorrow, next Friday)

Step 3 — Check personal workload hands‑free

From a teammate’s perspective:

  • “What tasks are assigned to me?”
  • “What’s due for me this week?”

Notis will read back the relevant tasks with priorities and due dates so the person does not need to open Notion.

Step 4 — Update progress and statuses by voice

Common updates:

  • “Mark <Task name> as In progress.”
  • “Set <Task name> status to Done.”
  • “Move <Task name> to To do.”
  • “Push <Task name> due date to next Wednesday.”

Tip: Quote or clearly say the exact task name for the best match, especially if similar tasks exist.

Step 5 — Get team health and follow‑ups

Manager prompts:

  • “What tasks are overdue across the team?”
  • “What’s in progress for Marketing?”
  • “Show me tasks due this week.”

Use these to run daily standups or quick check‑ins while commuting or between meetings.

Troubleshooting and tips

  • Name matching: If Notis asks to confirm, clarify the task title or person’s name.
  • Property mismatches: If your database uses different property names, say them in your command. Example: “assign to Owner” or “due on Deadline.”
  • Access: Ensure the assignee has access to the database or Notion won’t reflect the assignment.
  • Ambiguous dates: Prefer phrases like “next Tuesday” or give an exact date.
