Chat-with-document workflow

1. Send the document

Forward or attach a file directly in any Notis channel — WhatsApp, Telegram, iMessage, Slack, or email:
Here’s the contract our supplier sent over.
Forwarding the investor deck for review.
Adding the latest market report PDF.
Notis accepts PDFs, Word docs, spreadsheets, slides, plain text, and images. Once received, the document temporarily replaces your Notion workspace as the main context for the conversation.
Add an instruction in the same message to skip a round-trip — for example “Summarize this and pull out every commercial term.

2. Ask anything about the content

Treat the document like a knowledgeable colleague:
What’s the termination clause?
List every deliverable and its deadline.
Who are the stakeholders mentioned?
Translate the executive summary into French.
Notis answers from the document content, citing the relevant section or page when useful.

3. Combine with your workspace

Pull in your Notion data alongside the document:
Compare this proposal with the one we sent last quarter (in my Documents database).
Cross-check these numbers against my CRM.
Match the action items to existing tasks in my Tasks database.
Notis blends document context with your workspace — the document stays in scope until you move on to a new topic.

4. Bring the document back later

Reply to the original document message any time to reactivate its context:
(reply to the contract message) Remind me what the SLA was?

5. Save the output to Notion

Persist anything useful:
Save the summary to my Notes database.

Set up your Documents database in Notion

The Notis Second Brain template includes a Documents database where Notis can save uploaded files and the notes generated from them.
Add a description to the database telling Notis when to file things there — for example: “Save here every contract, brief, or PDF I share with you, along with a short summary.” Field-level descriptions sharpen the storage logic even further. Not sure how to do this?

Automations

Auto-summarize forwarded documents

Use this automation when you regularly forward contracts or briefs and want a clean summary in Notion every time.
  1. In the Notis portal, open the Automations tab and create a new automation.
  2. Set the trigger to Email Received with a dedicated address (or use a shared inbox label).
  3. Paste and adapt this instruction:
A document was forwarded by email. Your goal is to file it cleanly.

Steps:
1. Identify the document type (contract, proposal, report, brief, deck, other).
2. Extract:
 - Title / subject
 - Counterparty or author
 - Effective date / sent date
 - Key terms, deadlines, amounts, or action items
3. Save the document and its summary to my Documents database.
4. If the document contains action items, create tasks in my Tasks database with due dates.
5. Send me a 5-bullet summary in chat.

Tone: clear, factual, no marketing language.
This way every forwarded file lands in Notion with a summary, without you lifting a finger after forwarding.

Pro tips

  • One document at a time: Notis focuses on the most recent attachment. To compare two documents, ask a single question that references both.
  • Reply to bring context back: Even days later, replying to the original message reactivates the document’s context.
  • Use voice mode: While reading on the go, ask follow-up questions by voice — Notis will read its answer back to you.
  • Mix internal and external sources: “Use this PDF and my Brand Kit page in Notion.” Notis pulls from both at once.
