A Space is where a project lives in Notis. It groups pages and views together, can hold sub-Spaces, and keeps a list of what those pages use: databases, skills and automations. Share the Space and everything on that list comes along. Your Spaces live in the Spaces section of the Desktop and Web App.

What’s in a Space

  • Pages and views: what you open and read. A page can show a database, and each record then opens as a page of its own.
  • Sub-Spaces: Spaces inside a Space, for example one per client, campaign or quarter.
  • What it uses: the databases, skills and automations behind the pages. Notis keeps this list up to date.
A database, skill or automation can be used by several Spaces at once. It stays one thing: change it once and every Space that uses it sees the change. A database always belongs to at least one Space. A skill or automation that no Space uses stays in your own library, and your Notis can still use it.

Create and organise

Notis creates your Spaces and their pages. Ask it, for example:
“Create a Space for the Acme launch, with a page for its tasks.”
In your sidebar, the … next to a Space opens its menu: Share it, Rename it, see its Skills and Automations, Publish to Store or Move to bin. To place a Space inside another one, ask Notis. Moving a Space under another one gives the people of that Space access to it and everything inside it. People who only had it through its old parent lose it.

Choose what shows in your sidebar

Your sidebar shows the Spaces you work in. To keep it tidy, open a Space’s menu and choose Hide from sidebar. Only your own sidebar changes: the Space stays in search, its links still open, and the people you share it with keep it in theirs. The Spaces inside it are hidden with it. Skill reviews and HTML pages start hidden, and so do the pages you hid in your previous sidebar. To bring a Space back, click hidden Spaces at the bottom of the Spaces section and choose Show in sidebar. If its parent stays hidden, it shows at the top level. Your sidebar also keeps your own order and favorites, including the ones you set up before Spaces:
  • Add to Favorites pins a Space in the Favorites section at the top.
  • Open by default on a page chooses which page opens when you click the Space above it.
  • Clicking a Space opens it and shows what’s inside.
Development copies have their own Development section, below your Spaces.

Change what a Space uses

Notis manages what a Space uses. Ask it, for example:
“Add my brand voice skill to the Marketing Space.”
“Move the Outreach contacts database from SEO to Link building.”
“Take the weekly report automation out of the Sales Space.”
Before it changes anything, Notis tells you who gains or loses access:
  • Adding something to a Space gives it to everyone in that Space and in the Spaces above it. Nothing is copied: a change made from any Space shows everywhere.
  • Moving something keeps it whole, records included. People in the new Space gain it, and people who only had it through the old Space lose it. To move a database into a Space under a different top-level Space, you need to be an Editor of both. Its records then open in the new Space. Until a page there is set up to show them, a record link opens that Space itself: ask Notis to set one up.
  • Removing a skill or automation from the last Space that uses it puts it in the library of the person who removed it. An automation removed this way is paused.
  • A database never leaves its last Space. Notis offers to move it to another Space instead. A database used only in one Space is deleted with that Space when it is deleted for good from the bin.

Nothing lost by accident

Moving a Space to the bin takes everything inside it, including the databases only it uses, and you have 30 days to bring it back. Skills and automations are never deleted with a Space. See The bin.
